ZIVUX.AI Privacy Policy
This Privacy Policy describes how Proeffico Solutions Pvt Ltd ("we", "us", "ZIVUX") collects, uses, and protects your information when you use ZIVUX.AI ("the Service"). It applies to data we process about (a) visitors to our website, (b) prospects interacting with our sales team, and (c) customers and their authorised users using the platform.
1. Information we collect
Information you provide: Name, email, phone, company, role, billing details, support communications, and any other data you submit through forms or via direct interaction with our team.
Customer data within the platform: Data you and your team upload, create or generate inside ZIVUX (contacts, deals, tickets, files, etc.). You are the data controller; we are the data processor for this content.
Automatically collected: IP address, browser type, device identifiers, pages visited, referrers, and timestamps. Used for analytics, security, and product improvement.
Cookies: Essential cookies for authentication and session management. Analytics cookies (Google Analytics) only with your consent.
2. How we use it
- Provide, maintain and improve the Service
- Authenticate users and secure accounts
- Process payments and send invoices
- Communicate about the Service, billing, security, support and product updates
- Monitor usage to detect abuse, fraud or misuse
- Comply with legal obligations
We do not sell, rent, or trade your personal data with any third party for marketing purposes.
3. Where data is stored
Customer data is hosted in India-region data centres (AWS Mumbai with disaster recovery in Hyderabad). For specific customers with regulatory residency requirements, we can pin data to a specific region. Data is encrypted at rest using AES-256 and in transit using TLS 1.3.
4. How long we keep it
While your account is active, we retain customer data per your usage. Upon cancellation, data is retained for 30 days (in case you reconsider) and then permanently deleted. Backups are retained for 30 days and then rotated. We will provide a deletion confirmation upon request.
5. Sub-processors
We use a small set of carefully vetted sub-processors:
- AWS — cloud infrastructure (Mumbai region)
- Razorpay / Stripe — payment processing
- Twilio / Exotel — telephony and SMS
- Meta WhatsApp Business API — messaging
- Google / Microsoft — email and calendar integrations (only when authorised by your users)
Each sub-processor is bound by contractual data-protection obligations consistent with this policy.
6. Your rights
Subject to applicable law (DPDP Act 2023 in India, GDPR for European customers), you have the right to: access, correct, delete, restrict processing of, object to processing of, and port your personal data. Submit requests to privacy@zivux.ai. We respond within 30 days.
7. Security
Proeffico Solutions is ISO 27001:2022 certified. We use multi-factor authentication, role-based access control, audit logs, regular penetration testing, and a documented incident response process. If a breach occurs, we will notify affected customers within 72 hours of discovery.
8. Children
The Service is not directed at individuals under 18. We do not knowingly collect data from children.
9. International transfers
For international customers, we may transfer data to India for processing under standard contractual safeguards. Indian customer data does not leave Indian data centres without explicit consent.
10. Changes to this policy
We will notify customers via email at least 30 days before any material change to this policy. The current version is always available at this URL.
